Give your AI assistant real access to your inbox — without giving up control

AI Smart Desk runs on your own Windows machine, builds a local index of your Outlook mail, and lets your chosen AI assistant read it, draft from it, and act on it — every change proposed first, approved by you, never automatic.

How it works

Three steps, then your assistant actually knows your inbox.

Connect your mailbox

Point AI Smart Desk at your live Outlook or an archived PST, and it builds a fast local index — nothing leaves your machine to do this.

Connect your assistant

Claude, ChatGPT, or Gemini connects through MCP, the same way it would to any other tool you choose to give it access to.

You approve everything

Your assistant can propose a reply, a task, a filed email — nothing is sent or changed until you say so.

What you get

One local index, and a very different relationship with your inbox.

One dashboard, not fifty tabs

See what actually needs you today: unread priority mail, overdue tasks, today's meetings, and what's waiting on your approval — all in one place.

A map of who you work with

See your real relationship with every contact — who you owe a reply, what's still open, what's coming up — built entirely from your own mail.

Tasks that track themselves

Tasks move both ways between AI Smart Desk and Outlook's own task list, tracked by who asked, who owns it, and when it's due — built from the conversation, not typed in by hand.

Nothing happens without you

Your assistant can only propose a change — a reply, a category, a calendar move. You approve each one, and every approved action can be undone.

Meetings, transcribed where they happen

Record a meeting, online or in a room, and get a transcript with speakers told apart — done entirely on your own computer, kept only as long as you choose.

See the time it's actually saving you

Every draft, search, or summary your assistant hands you is logged against the time it would have taken by hand, so the payoff isn't just a feeling.

Inside the app

A control panel for your inbox, not another place to read it.

AI Smart Desk dashboard showing priority mail, today's tasks, and the day's agenda
The Tasks board, with cards tracking who asked, who owns it, and when it's due
The Approvals queue, showing a proposed reply waiting for sign-off

Your mail stays on your machine

AI Smart Desk builds and keeps its entire mail index locally, on your own computer. Meeting recordings and voice data work the same way — processed and stored locally, never uploaded anywhere by us.

What your connected assistant reads is sent to that assistant's own service — Anthropic, OpenAI, or Google, whichever you choose to connect. We recommend confirming with your own IT or security team which AI services are approved for your mail before connecting one.

Availability

AI Smart Desk is in private beta for Windows 10/11 with classic Outlook — the new Outlook isn't supported yet. Request access and we'll reach out.
